Front Desk Admin

Description

This role is to support Accounts Payable with several projects related to data. Position performs a variety of routine clerical tasks, including data entry, filing, research and other duties as assigned.

PRIMARY DUTIES
• Support AP team by approving accounts/cleaning up data in Egencia
• Provide support performing general clerical duties such as distributing packages, posting mail and arranging messenger services
• Research old or past due tickets related to Accounts Payable
• Process and code invoices in a timely manner
• Prepares and process purchase order invoices for services or goods for expense tracking. Perform basic filing and database upkeep and support to other departments as needed
• Special projects as assigned.

SCOPE OF RESPONSIBILITY
Works under direct supervision. Job encounters regular and routine work situations, involving a moderate degree of administrative complexity.
Contacts are normally made with others inside and outside the company including customers, vendors, other departments, immediate associates and own supervisor. All employees have the responsibility to both the customer and their co-workers to do the job right the first time and to ensure the customers' needs are being met.

SPECIFIC SKILLS AND KNOWLEDGE REQUIRED
Proficiency with MSFT applications. Must be detail oriented. Strong customer service and skills a must. Ability to deal in a professional manner with various personalities encountered on the phone and in person. Effective oral and written communication skills dealing with the general public and all levels within the organization. Ability to perform basic mathematical calculations with attention to detail. Reliable.

EDUCATION AND EXPERIENCE REQUIRED
Ability to understand procedures and instructions specific to the area of assignment as would be acquired in four years of high school. Two years prior experience as a receptionist or working in a professional office environment and/or dealing with the public. One to two years general office experience. Knowledge of computers and relevant experience with Microsoft Office suite (Word, Excel, PowerPoint and SharePoint).

WORK CONDITIONS
General office environment. Normal working hours are 8:00a.m. to 5:00p.m. Monday through Friday.
