Human Resources Assistant

Adecco is urgently seeking an HR Coordinator for a leading beauty company in Northern New Jersey. 

Job Responsibilities:

  • Enters information into HR system (Success Factors) to process new hires, terminations, tuition reimbursements, other payments etc.  Ensures information is inputted correctly and on time to ensure accuracy and meet required payroll deadlines. 
  • Facilitates all I-9 reviews and background checks.  Ensures required documentation is on hand and properly completed.  Enters/verifies I-9 and background check information in applicable systems and follows up accordingly. 
  • Prepares new hire welcome packages for incoming hires and distributes accordingly.  Ensures receipt and proper completion of all documentation for new hires.  Prepares new hire communications (welcome emails/other).
  • Participates in select new hire onboarding initiatives – Welcome, first day tour, training invites, select orientation responsibilities.
  • Facilitates recruitment applications to managers for review.  Arranges interviews and follow up on required action items.
  • Completes required documentation needed for visa applications for Legal and employees. Tracks status and open items.
  • Notifies IT and Security of relevant hires / terminations – puts in necessary tickets/email notices.
  • Maintains employee files (e-files) and ensures compliance for all required documentation.
  • Responds to basic level HR inquiries from staff.  Fields to HRBP as appropriate
  • Assists in scheduling assigned meetings for the HR office
  • Creates exit packages and schedules exit interviews for HR
  • Ensures accuracy of HR data for global R&D population and updates accordingly  - titles, managers, etc.
  • Participate in assigned events and HR initiatives as directed
  • Prepare assigned spreadsheets and documentation for HR as required.
  • Greet visitors for HR Office and conducts tours as required
  • Verify concur users and cost center information for IT for employee changes/updates.
  • Other administrative functions as assigned by HR

Qualifications and Skills:

  • 1 to 5 years’ experience in HR, with strong focus in HR administration /coordination
  • Bachelor’s degree in HR or Business OR equivalent experience
  • Highly organized, great attention to detail and follow up skills
  • Ability to work independently, exercise sound judgement and uphold the highest level of professionalism and confidentiality
  • Must have a can-do attitude and strong customer service focus
  • Strong computer skills (MS office) – technical proficiency in Excel required
  • Experience with SuccessFactors is a plus
