Legal – Executive Assistant
Essential Functions

• Exercises sound judgment and discretion of a highly confidential nature.
• Proofreads and edits documents with red-lining.
• Prepares reports and correspondence by transcribing notes and taking dictation.
• Maintains correspondence and data files, often confidential in nature.
• Acts as a central contact person for executive level manager during his/her absence.
• Makes travel, appointment, and meeting arrangements.
• May take and relay telephone messages.
• Prepares expense accounts.
• Conducts research, and compiles and types reports.
• Makes copies of correspondence or other printed materials.
• Prepares outgoing mail and correspondence, including e-mail and faxes. Composes own correspondence.
• May order and maintain supplies, and arrange for equipment maintenance.
• Coordinates, manages and maintains calendar.
• Complies with firm’s professional standards to ensure quality service to all clients.
• Takes on additional responsibilities as required or assigned.

Qualifications:

• 5+ yeras of Legal Secretary supporting senior management experience.
• Possesses an affinity for and proficiency in technology, including MS Office applications (Word, Excel, and Powerpoint), Lexus-Nexus, Westlaw, and other systems used in a legal environment .
• Able to interface with employees and management at various levels within an organization.
• Maintains a high level of professionalism, integrity and trust.
• Able to work under pressure to meet deadlines and changing priorities.
• Able to organize and handle multiple priorities.
• Follows instructions and completes tasks within assigned time frames and with acceptable levels of accuracy.
• Possesses attention to detail, excellent analytical ability and strong communication skills.
• Previous experience in a law firm strongly desired.
