Litigation Secretary

Perform daily clerical duties such as processing incoming and outgoing mail; answering, screening and directing telephone calls; taking messages; photocopying; scanning; filing and other routine duties necessary to assist attorneys. Review/edit client billing timesheets/pre-bills for assigned timekeeper(s) for accuracy, including proper coding.Draft routine pleadings and correspondence. Timely and proactively set up document shells as applicable upon service of documents from opposing counsel and ongoing review of upcoming deadlines.
Format, proofread, and finalize pleadings and briefs based on court rules related to font size, page/word limits, table of authorities and table of contents; prepare exhibits; coordinate and track the status of pending stipulations, declarations, and draft orders.
Accurately profile documents in document management system.
Maintain currency of physical and electronic case files.
Schedule appointments and coordinate travel arrangements; calendar meetings.
Transcribe notes, documents, voice messages, etc.
Prepare and update case binders in accordance with attorney requests and preferences. Provide administrative support for mediations, arbitrations, trials, and other court hearings.

Open new matters in accordance with established checklist and procedures, including, but not limited to, performing conflict check, creating files, applicable case caption templates, completing new matter form, and preparing engagement letter. Timely and Perform clerical support and general office duties for attorneys following established procedures. Work closely with attorneys and staff, covering for other secretaries when needed.


Skills/Knowledge:
In addition to meeting the Physical, Mental and Communication Demands listed above, require extensive working knowledge of Microsoft Word 2016 (or higher) and Microsoft Windows 10 (or higher); require basic working knowledge of Microsoft Excel 2016 (or higher), Adobe Acrobat Standard, and Microsoft PowerPoint 2016 (or higher); use of discretion and judgment, including maintaining confidentiality, and working cooperatively
litigation process. Must display organizational skills, ability to multi-tasks and work extremely well under deadlines.


Education/Experience:
A minimum of one year of legal secretary experience or necessary knowledge, skills and abilities to meet the minimum qualifications to perform the essential functions of this position. Preferred experience in labor and employment law.
