Manager Interoffice and Mailroom Operations

Position Summary

Manage and lead the everyday operational activities, including staff from all company sites, of the internal distribution areas and mailroom areas.  Maintain a high level of quality and customer service in supporting all client staff.  Oversee the forecasted workloads and scheduling of all distribution vehicles and their materials both internally and externally.  Interact with other managers and supervisor to coordinate activities between sites, including technology usage.


  • Adhere to ethical standards and comply with the laws and regulations applicable to your job function.
  • Act as backup for Sr. Manager, Mailroom Operations.
  • Supervise and provide direct supervision of the daily operational activities and professional services of the work units and all staff including mailroom, inter-office distribution services, drivers, clerical assistants (all levels), and special needs student staff.
  • Coordinate special pick-ups and deliveries through internal work requests.
  • Establish, implement and monitor methods of inventory control, order and maintain mailing and shipping supplies.
  • Stay abreast of new, updated and revised USPS, external courier service and internal company policies for mailing, shipping and receiving goods.
  • Keep fleet of vehicles in check with service schedules, mechanical issues, inspections, etc. while communication and working with the company Auto Mechanic to keep vehicles safe for staff and road travel.
  • Understand and transfer knowledge and training for safe mail handling of packages under the guidelines of the US Dept. of Homeland Security.
  • Prepare all necessary reports, metrics data, productivity data, operating reports, while maintaining consistent customer service levels.
  • Serve as the primary coordinating supervisor responsible for Domestic and International shipping.  Enforce and monitor quality control procedures for overseas shipping with special attention to bulk shipping regulations. Track shipments, interacting and facilitating each through customs meeting customs regulations and requirements to ensure timely shipments and deliveries.
  • Interact with outsources shipping and receiving vendor and Supplier Management department for purchase order information for researching materials.
  • Prepare and submit annual performance reviews and objectives, provide support for training, provide guidance and development as well as recruiting staff.


Education/Special Licenses:

  • A Bachelor’s degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired is necessary.
  • Valid driver’s license is required to operate company vehicles.


  • Minimum 3 year’s management experience in distribution services and customer service.


Other Knowledge, Skills, and Abilities.

  • Technical aptitude for use of vendor applications.
  • Thorough knowledge of postal machines and meters.
  • Thorough knowledge of US Postal and vendor shipping and courier regulations and OSHA safety rules
