Manufacturing Administrative Assistant

Adecco is assisting a local client in recruiting for an organized Administrative Assistant in West Homestead. This is for a temporary to hire opportunity that will give you valuable experience to enhance your career. As an Administrative Assistant you will be responsible for ensuring all domestic shipments are properly and accurately arranged and executed for customer deliveries, raw material transfers and intercompany logistics. This position will also become a back-up to the International Logistics Coordinator. The ideal candidate is able to multi-task and has exceptional time management skills. Responsibilities for this Administrative Assistant job include:

- Work directly with various freight forwarders to obtain quotes for and set up domestic customer shipments, shipments from vendors to warehouses; inter-company material and product transfers and customer returns
- Run available to ship report, identify orders to ship, coordinate shipping with carriers, notify associates in the warehouse, physically prepare packaging for shipping, and log shipments to facilitate customer invoicing
- Arranges small parcel shipments
- Maintain and track stock item shipments working with field agents and customer service and sales teams
- Communicate with freight forwarders on freight damage claims and other shipping and transportation issues
- Prepare required information and documents per client requirements. Including inspection reports, other required documentation, warranty and inspection certificates as needed prior to shipment.
- Manually ship orders in the Syteline ERP business system
- Coordinate warehouse team to arrange loading of cargo
- Cross train to execute the steps necessary to complete international product shipping
- Assemble and scan invoiced, completed customer order files for retention
- Assist with filing organization of customer quote and order files
- Assist with other office administration in support of inside sales, order fulfillment, purchasing and logistics departments.


- Associates degree or directly related experience may be substituted for post-high school education
- 2+ years of Administrative experience in Manufacturing and Logistics
- Attention to detail and a focus on timeliness and accuracy
- Proficiency in Microsoft Office products (Outlook, Word, and Excel)
- Ability to learn Syteline, ERP/MRP, Order Entry, or Purchasing systems
