Adecco is assisting a local Client and recruiting for a Meeting Planner Coordinator to work for the client in Bridgewater New Jersey 08876.
This position is for Adecco’s large Multi-National pharmaceutical client, who produces branded and generic drugs and performs pharmaceutical research and development.

Meeting Planning Coordinator
• Managing registration and attendee communications for concurrent programs and events,
o Reviewing /editing contact information in event management system /Distributing registration confirmations and other pre-meeting communications
o Serving as primary liaison for attendee questions and follow up via phone and email /Providing “white glove” service to customers at all times and implementing ways to enhance service to our customers
• Assisting Associate Event Program Manager on all aspects of program planning, organizing, implementation and post-event tasks /Involvement in managing a hotel Rooming List /Tracking and reporting travel arrangements /Preparing meeting materials
o Testing event sites and proofreading documents to ensure accuracy /Standard reporting /Logging customer satisfaction survey results /Post-event attendance reconciliation and reporting /Participating in planning and post-event debrief meetings
• Working closely with Health Care Compliance to ensure adherence to AdvaMed Code of Ethics, Physicians Payment Sunshine Act requirements and Corporate guidelines pertaining to interactions with and exchanges of value for HCP’s
• Sharing best practices and demonstrating continued dedication to improving processes. Assisting in the initial development and any future revisions of an SOP for the meeting management process.
• Working closely with medical education, Marketing, Sales teams and other internal business units to build strong partnerships that contribute to successful program results.
• Managing national Medical Education webcasts and webcast programs for other internal business units/o Utilize event management software to create registration sites
o Collaborate with webcast host to develop attendee communications /Manage attendee registration and communications
o Post-event attendance reconciliation /ensure compliance with all guidelines for national, area/regional, and local programs and events/Assistance in providing Meeting Planning statistics

Experience:

3-5 yrs Minimum of 3 years applicable experience.
At least 1 year experience in medical education/healthcare related meeting planning.
Proficient in MS Office programs;
ability to manage multiple projects at once in a fast paced environment;
Unwavering customer focus, proficient computer skills, and ability to problem solve; Team oriented.

Preferred Qualifications:
Experience with event management software; Ability to meet deadlines and work under pressure without compromising work quality or team relationships; Experience working with cross-functional teams; Strong attention to detail; Organizational and project management skills; Ability to manage responsibilities with minimal supervision; Team player who consistently looks for ways to support the team to advance business objectives.
