This position will provide logistic oriented support for the conference planning role for pre, on-site, and post meeting and event support. Specific responsibilities supporting the day-to-day operations may include but are not limited to the following:


3-Month Contract

Working remotely but occasionally onsite

15-40 hours/week



  • Data formatting using MS Excel and PowerPoint
  • Shipping and receiving for meetings
  • Venue research
  • Update itineraries and run of show
  • Works with AV and production orders
  • May work with branding, communications, decor, F&B
  • Facilitate parking, transportation, security and vendor needs
  • Complete meeting website invitation support including builds, updates and reporting
  • Provide on-site support for events for registration and/or as needed
  • Enter logistical requests for events which are hosted at the on-site conference center
  • Create and maintain reporting programs
  • Create and print badges for conference attendees
  • Compile meeting feedback
  • Handle administrative logistics as requested by the meeting planner
  • Order supplies and premium items
  • Assist with reservations in systems


  • As a point person for a service oriented position who will work with internal employees and external vendors, candidate must have professional presence and be easy to work with
  • High degree of motivation as well as being able to quickly master new challenges
  • Ability to work independently
  • Strong time-management and organizational skills, with the ability to handle multiple tasks simultaneously
  • Excellent communication and interpersonal skills
  • Ability to work under tight deadlines and a fast-paced environment
  • Proficient with MS Office Suite (Excel/PowerPoint)
  • Experience with Etouches and/or Cvent a plus

Prior experience supporting top level executives with strong organizational skills including but not limited to:

  • Scheduling appointments
  • Handling mail
  • Answering telephones
  • Typing 50+ wpm
  • Multiple presentation and database package skills (e.g. PowerPoint, Word, Excel, Access and Lotus Notes) will be required!
