Office Administrator

The Office Administrator will support our company’s candidates, as well as the office’s Operations, Delivery, and Sales teams in a collaborative environment. This person will be “the face” of the company as the initial point of contact for incoming candidates. We are looking for someone friendly, organized, and eager to learn our business.


Primary Responsibilities


  • Welcomes and assists candidates and visitors, alerting appropriate staff for meetings.
  • Serves as point of contact for issues and questions, managing customer services issues and providing high-level customer service for inbound and outreach calls.
  • Schedules a high volume of coaching appointments in person, via phone and email.
  • Organizes suite offices, logistics, meeting reservations, etc.
  • Manages workshop preparation, breakdown and reporting.
  • Assists with technical support with candidates and staff.
  • Orders office supplies
  • Activates new candidates for service, assigns coaches, and tracks incoming traffic.
  • Monitors common areas and offices for tidiness and office supply stock.
  • Provides clerical support as needed.
  • Assists with preparation and shipment of our company’s sales and marketing materials when needed.
  • Assists local Project Manager with staffing, preparing for and managing delivery of services on customer sites.


Required Experience + Characteristics

  • Has experience in a high level reception / customer service role.
  • Ideal candidate is proactive, helpful, and comfortable in a sensitive professional environment.
  • Is communicative, articulate and has mastered the art of making customers feel at home and at ease, even when the answer to their questions isn’t immediately known.
  • Takes initiative and demonstrates responsibility for tasks and office experience.
  • Can stay organized and complete multiple tasks while keeping a customer-first mentality.
  • Energetic, optimistic and highly responsive to new and changing circumstances.
  • Is curious about the mechanisms of the company beyond the role.
  • Very professional with an ability to use discretion and maintain client confidentiality.
  • Proficient in MS Office: Outlook, Word, PowerPoint and Excel, willingness to learn and work with our company’s Client Management System (ORBIT), Career Resource Network, Sales Force and other internal systems.
