Office Manager

New

Adecco is currently recruiting for an Office Manager in Plains, PA. This position is day shift hours, Monday-Friday, and pays $20-24 per hour. It is a temp-to-hire opportunity.

This position is very heavy on human resources, office administration, payroll, and billing. It is an administrative role, in a bustling production setting. Please be sure to read the job details, to ensure interested and qualifications prior to applying. 

You must have previous experience in ALL of the below areas, as well as experience working in an administrative setting within a production environment/manufacturing setting. While this position is in an office setting, the production area often spills into the office environment, and you will be entering the production area multiple times per day. 

There is a lot of paper dust, so this position is not ideal for anyone who is expecting a pristine office environment, or has issues with breathing, allergies, and/or asthma. You will often get a little dirty, as you will walk through the production areas frequently. The office is also bustling, so it is very noisy. You can hear the machinery from the production floor in the office as well. Please be sure this environment is suitable to you.

-is reliable and dedicated to getting the job completed

Personnel Administration

-Maintain ¿shadow¿ file of all personnel records. 
-Act as liaison with Corporate HR or appropriate dept. as noted:
   -Be familiar and able to explain Healthcare programs and coverage
   -Drug screening ¿ give forms to new hires; contact Quest for results; 
  -Assist hiring manager in placing job ads.  
-New employee orientation review all new hire paperwork with new hires, distribute employee handbooks & policies
-Maintain list of employees
-Accept job applications

Office Administration

-Answer phones and direct calls as needed
-Receive visitors as needed
-Mail  prepare regular and express mail; pickup, sort and deliver; includes parts & suppliers labels. Do special mailings as needed.
-Order office supplies and maintain inventory as needed. 
-Coordinate with outside vendors maintenance of facilities  
-Filing
-Maintain office equipment and call service when needed
-Maintain key list
-Handle petty cash and plant checking account; sending Corp receipts for reconciliation.  Do banking transfers and deposits as needed.
-Maintain & distribute phone list of internal employee and company phone numbers.  

Payroll
-Reconcile timecards on WorkforceNow. 
-Act as payroll liaison with Corp. Payroll.
-Reconcile payroll register data with payroll spreadsheet submitted each payroll.
-Maintain vacation, sick leave and attendance records.


Accounts Payable

-Handle routing of all bills for approval, (except for paper).
-Ensure usage of purchase order system within the plant by those who are authorized to order on behalf of the plant.
-Daily entry, review and printing of all new purchase orders for plant.
-Daily submittal of paperwork to corporate for adding new vendors for plant.
-Daily entry and review of all invoices into the purchasing and payables system.
-Daily entry and review of receipts of goods/invoice into the purchasing system.
-Daily entry and review of invoices to customers.
-Weekly verification of the purchases clearing report and other reports necessary to verify accuracy of financial information.
-Establish and monitor procedures within the plant to ensure accurate reporting of shipments and receipts.
-Works with Plant Manager to ensure accurate physical count and entry into MAS200.  Plant Manager is responsible for inventory count.
