POSITION: Administrative / Legal Contracts Specialist
LOCATION: Wauwatosa, WI
DURATION: 12 month contract assignment
PAY: $28.00/HR (40 hours per week)

Job Description:

The Operations Specialist, Global Innovations will provide administrative and legal operations support to our Client's Global Innovations team. Working primarily with members of the Law and Policy team within our client's organization, this position will be responsible for administrative support as well as completing tasks associated with managing our client's patent portfolio and supporting litigation and other matters for Services, Global Supply Chain and Sourcing.

Key responsibilities/essential functions include:
• Work closely with our client's General Counsel for Services, Global Supply Chain and Sourcing and Chief IP Counsel to provide general administrative and legal support.
• Review invoices, act as initial contact for tracking IP costs, and identify opportunities to streamline financial processes related to IP operations.
• Support IP function by coordinating with outside counsel and cover as initial IP department contact for any correspondence in the absence of formalities paralegal.
• Draft correspondence and amendments to documents; work closely with Counsels and business units to respond to any requests, preparing documentation and managing files.
• Maintain all IP files and retrieve archived files/information as requested.
• Support Services and Sourcing litigation matters (e.g., conducting pre-claim investigations, basic factual or legal research, draft documents and responses to subpoenas, respond to requests for documents, complete forms, etc.)
• Provide support on Service offerings (e.g., gather input from stakeholders, draft documents)
• Interact with the Global Innovations Law and Policy team, internal business staff, and external consulting and law firms.
• Coordinate calendars, trip planning, travel, appointments and meetings including patent evaluation board meetings.
• Accurately follow complex processes for handling matters in a compliant manner.

1. Aware of and comply with the our client's Quality Manual, Quality Management System, Quality Management Policy, Quality Goals, and applicable laws and regulations as they apply to this job type/position
2. Complete all planned Quality & Compliance training within the defined deadlines
3. Identify and report any quality or compliance concerns and take immediate corrective action as required

Required Qualifications:
1. Minimum of 2 years demonstrated legal administrative, operations, or paralegal experience in a corporate or professional business environment supporting the activities of a department/team or manager.
2. Highly organized with strong time management skills. Must be able to handle multiple projects simultaneously in a fast-paced environment.
3. Basic understanding of contracts.
4. Strong oral and written English communication skills, including grammar and composition.
5. Excellent PC skills with advanced level skills in all Microsoft Office applications (Microsoft Word, Excel, PowerPoint and Outlook Mail) and previous demonstrated experience navigating the Internet effectively.
6. Demonstrated experience working on multiple projects with more than one team member simultaneously, adjusting to changing priorities and follow through on all assignments.
7. Must be able to maintain security of highly confidential information—discretion and confidentiality required
8. Must be able to work self-directed with an ability to multi-task
9. Must be willing and able to flex work hours periodically based on business needs.
10. Integrity: Must accept and adhere to high ethical, moral, and personal values in decisions, communications, actions, and when dealing with others

Preferred Qualifications:
1. Paralegal certificate or at least two years of paralegal experience
2. Outstanding interpersonal skills and ability to communicate at all levels of the organization
3. Ability to work well independently and in a team setting
4. Adaptable/Flexible: Being open to change and work in ambiguous situations
5. Experience working with patents, supporting an in-house legal organization, or working at a law firm
6. Change agent, process oriented, global mindset
7. Execution and follow through: Ability to move project/issue from visionary stage to completion.
8. Ability to accurately follow complex procedures.
