Patent Administrator

A leading client of Adecco offering Education Services in the Piscataway area is seeking a Patent Paralegal resource.

Job Title: Patent Administrator

Pay rate: $29hr - $34/hr depending on experience

Location: Piscataway NJ

Hours: 8:30 am – 5:00 pm

Duration: Temporary position for 3-6 months with opportunity to apply for the permanent position.


  • Primarily responsible for the Patent Docketing process.
  • Will be responsible for data entry, tracking, storage and maintenance of electronic communications regarding invention disclosure, patent application preparation, patent application prosecution and patent maintenance to ensure timely actions as required for the worldwide protection of the client’s intellectual property.
  • Reviews and processes email communication to the shared mailbox.
  • Primarily responsible for monitoring a majority of the Activity Due Dates. Create daily communications to keep the inventors abreast of developments in their respective intellectual property, e.g., by email, and/or Express Mail correspondence related to filings, publications and issuance of patent applications. Be instrumental in creating, obtaining and securing original executed documents for use at the United States and Foreign Patent Offices, as well as for the client’s records.
  • Assists the IP Managers to prepare and draft correspondences to the inventors in accordance with current SOP’s to keep the inventors appraised on the status of their patent applications.
  • Ensures data integrity of the patent and annuity databases. Responsible for timely data entry, storage and maintenance of all electronic and print correspondence related to patent annuity payments.
  • Schedules meetings and conference calls, assist in special projects or other duties assigned


Required skills:

  • Minimum of three (3) years’ relevant experience is required for this position.
  • Bachelor’s Degree, or equivalent experience, required.
  • Four to five (4-5) years’ experience in a professional law firm as a patent legal assistant is preferred.
  • A thorough understanding of the US and EPO patenting processes is required, and a basic understanding of patenting processes in foreign jurisdictions is preferred.
  • The candidate must be detail oriented, have excellent communication skills, be able to work independently to meet deadlines.
  • Proven ability to use a complex database and User Portal, to enter and manipulate data and manage the generation of reports is required.
  • Strong proficiency in MS Office is required.
  • Knowledge of using USPTO, EPO, WIPO and ESPACE is required.
  • Inteum and CPI (annuity payment service) experience is preferred.
