My Client has an exciting opportunity for a RECEPTIONIST who will provide general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

· Retrieving after hour messages from mailbox

· Every morning check the after hour mail box

· distributing them to corresponding party via email for record keeping

· Greeting and receiving visitors

· Open doors to visitor

· Providing visitors badge and recording ID info on visitor’s log.

· Conference room booking

· Places conference reservation forms in front of the reserved room the day before (see attached)

· Update Welcome board with customer name/customer meeting

· Sets up or renew guest Wi-Fi access as requested

· Mail received/outgoing

· Receives and sorts USPS/DHL and UPS mail/packages

· Notifies recipient to pick up packages on a daily basis

· Receives and logs courier mail/packages

· Notifies recipients to pick up their courier mail/packages on a daily basis

· Assist with tracking missing packages by contacting and following up with managers

· Answering Phones

· Answers calls routed to the operator and directs to proper party for follow up

Position Requirements:

Experience as a Receptionist, Front Office Representative or similar role is preferred.
Experience handling multiple phone lines.
Professional attitude and appearance.
Strong customer service skills.
Effective interpersonal skills.
Ability to be resourceful and proactive when issues arise.
Excellent organizational skills.
Professional Skills in Spanish and English
