POSITION: Project Administrator
LOCATION: Mount Laurel, NJ
HOURS: Mon- Fri 8:30am to 5:00pm
DURATION: 12 months (contract)

SUMMARY OF DAY TO DAY RESPONSIBILITIES:

Tasks
Year-round admin responsibilities:
• Check shared Volunteer email box several times daily to answer misc. questions, process employee event requests, follow-up on problems/issues
• Approve employee IVAs several times daily, follow-up with employees regarding questions on the IVA itself, the 501-c-3 organization, also update profile information with BOD listing
• Verify 501-c-3 status of IVA organizations, add organizations to TDVN as needed
• Run biweekly stats and send to CAN for dashboard reporting updates; run weekly Environmental stats; run one-off reports as needed
• Approve Volunteer Donation rewards [step 1] and send instructions email to employee [step 2] and approves WOW! rewards [1-step process]
• Does screen shares with employees to assist as needed to help better understand the system
• When new software has been chosen, participates in system admin training
Special Olympics Fundraising Campaign (annual)
• Manages employee data coding within company's established reporting hierarchy
• Coordinates goal setting based on prior year spend, # of employees per unit, Officer Title levels, etc.
• Coordinates/assists as needed with mailings and marketing collateral distributions to Stores and back offices, e.g. posters, wristbands
• Campaign Champions contact list management
• Posts reports to Connections
• Ad hoc reporting as needed
*Community Relations Manager manages Commercial Co-Venture documentation and tracking of donations ?$250
Employee Giving Campaign (annual)
• Coordinates/assists as needed with mailings and marketing collateral distributions to Stores and back offices, e.g. posters, recognition pins, Ambassador gifts
• Posts reports to Connections
• Ad hoc reporting as needed
• Supports Community Relations Manager with data gathering, development and reporting on KPIs; creates reports/graphs
• Supports CAN/US RFP process for new volunteer technology platform and technology implementation
• Primary contact for all incoming communications and requests.
• Monitors and responds to all CR email boxes:
- • Books conference rooms; checks availability with Receptionist
• Arranges room/technology set-up
• Arranges for meals/refreshments if needed

Requirements
High level of proficiency with databases and support technology
Excellent project management and organizational skills
Excellent time management and attention to detail
Ability to establish strong partnerships and work collaboratively with colleagues
Ability to work in a fast-paced environment
Strong oral and written communications skills
Analytical ability to make sound recommendations and decisions

MUST HAVES:
- Excellent Excel Skills - data manipulation (pivot tables, formulas, etc.)
- Excellent Customer service skills – internal & external partners
- Well organized, good judgement, tech savvy, fast learner
