Our client, an established construction company, is looking for a Project Coordinator/Administrator to join the team! We are looking for candidates that possess General Contractor experience. Must have a stable work history.

Assist Project Managers and Project Engineers setting up and closing out projects in accounting system, setting up Superintendents with living accommodations and any other administrative duties assigned by the Project Manager. Answer phones, track vendor & sub-contractor information, insurance policies, lien waivers, and authorize sub-contractor draws for payment.

JOB DESCRIPTION
Job Title: Project Coordinator
Reports To: Lead Project Coordinator or Office Manager
FLSA Status: Non-Exempt
Department: San Antonio Office
Hours: Full Time

Essential Duties and Overall Responsibilities include, but are not limited to the following, as other
duties may be assigned:
Assisting Project Managers and Project Engineers with projects
Job set-up (Viewpoint, Textura and Sharepoint)- these systems are a requirement. If you do not have this knoweldge, please do not apply.
o Verify correct project info in View Point
o Estimate entered into View Point
o Enter drawing log into View Point
o Set up compliance requirements in Textura
o Forms & templates (joint check agreements, owner attachments, etc.)
o Order bonds, General Liability and Builders Risk insurance
o Additional items as required
Superintendent Job Site needs:
o Living accommodations if out of town/state
o Job site office supplies
Issuing and tracking the following:
o Subcontract Agreements
o Purchase Orders
o Professional Service Agreements
o Change Orders (Owner and Subcontractor)
Subcontractor compliance tracking
o Supplier waivers
o Insurance
o W9
o Executed Subcontract
o Supplier lists
o PM Holds
o Additional tracking as required
Subcontractor/Vendor Payment Processing
o Monthly subcontractor draw processing
o Joint checks
o Special pays
o Check requests
o Review invoices
Intent to Lien & Lien Notice tracking
o Texas Lien Law
Close out projects
o Initiate close out process (complete forms, schedule meeting with project team)
o Assist Closeout Coordinator, when needed, obtaining and managing close out documents
Accounting, troubleshoot billing (G702/703 & vendor invoices), shut down out of town accommodations
Maintain job files on Sharepoint as well as the hardcopy folders
Back up receptionist
General office administrative duties as needed
Qualifications/Computer Skills:
To perform this job successfully, an individual should have good knowledge of Microsoft
Word, Excel, Outlook, Internet, and delivery software such as DHL, FedEx, UPS
Excellent customer service skills and administrative support experience.
Office equipment such as fax, copiers, phones, postage machine, printers
Education and/or Experience:
A High school diploma or general education degree (GED): one (1) to three (3) years related
experience and/or training; or equivalent combination of education and experience.
Supervisory Responsibilities:
This job has no supervisory responsibilities.
Work Environment/Physical Demands:
The noise level in the work environment is usually moderate.
While performing the duties of this job, the employee is regularly required to speak and hear.
The employee is frequently required to stand; walk; sit; bend; use hands to finger, handle, or
feel and reach with hands and arms. Light lifting may be required up to 15 pounds.
To perform this job successfully, an individual must be able to perform each essential duty
