POSITION: Project Coordinator
LOCATION: Canton, MA

HOURS: Full Time; M-F
DURATION: Approximately 4 – months; with potential to extend
PAY: DOE

Role Summary
General Responsibilities: The Project Coordinator is responsible for supporting Project Managers with all customer inquiries including but not limited to shipment coordination, order expediting, submittal packages, returns, order processing, and project take-offs. In addition, this position is the liaison between the customer and other distribution departments including Credit, Purchasing, Warehouse, Outside Sales and Management.

Essential Duties and Responsibilities
• Maintaining and updating estimated ship dates and tracking information for all customer orders in expedite report
• Communicating with team members, purchasing, warehouse, manufacturers, and delivery/freight carriers to ensure all required dates are met for customer orders and expediting order if necessary
• Preparing and sending submittal packages, operation manuals, and warranty documentation to customers
• Coordination and execution of general paper flow including printing plans and job correspondence, copying, filing, customer and vendor interface and tracking special requests
• Review and file customer acknowledgments
• Follow-up with customers and vendors ensuring returns and credits are handled in a timely fashion
• Maintain RGA file for customer returns
• Assist in the closeout of completed jobs
• Assist in other special projects or assignments as needed
• May be responsible for accurate order entry and management of open orders
• May be responsible for reading construction plans and do take offs
• Report and follow up on all quotations
• Understand company procedures and policies and have an awareness of other job duties
• Continuous learning and receive training on all new products

Knowledge, Skills and Abilities
• Self-directed and motivated with the ability to work with limited supervision
• Strong organization and time management skills with the ability to handle multiple tasks simultaneously
• Strong communication and customer service skills via email, phone to a varying customer/vendor base
• Able to work harmoniously with co-workers in all departments
• Ability to prioritize daily demands to meet customer requirements and handle multiple tasks
• Excellent oral communication, problem solving skills and a creative thinker
• Able to work harmoniously with co-workers in all departments
• Must possess the capacity to function effectively in a demanding and time sensitive environment
• Detail oriented

Education and Experience
• Experience in an administrative role or in a sales/service environment
• Highly proficient in Outlook, Excel
• Ability to use internet effectively to research product and track shipments

Physical Requirements
• Able to sit for long periods of time
• Able to work on PC screens for data entry and/or analysis for long periods of time
• Professional appearance and demeanor
• Ability to work in varying environments (i.e. physical inventories)
• Able to pass drug screen
