Specific Duties:
1. Provides assistance with the scrubbing of provider demographic information in preparation for vendor record retrieval
2. Performs provider outreach, verifying and confirming provider demographics & medical record requests, both by telephone and in writing
a. Assist with locating providers where demographic information is missing or incomplete (i.e. checking claims source system for alternate provider)
b. Crosschecking against the HEDIS provider database to locate the ‘best’ provider address
c. Assist with reviewing and remediating (when possible within guidelines) charts where chart listed as Provider Not Participating (PNP) and/or Chart Not Available (CNA)
d. Assist with reviewing provider requests for record fees greater than the agreed upon threshold and obtain approval as needed
e. Performs follow up on the status of non-closed medical records request
3. Assist with reviewing the eligibility screenshots to ensure all data elements are present before sending to the Initial Validation Audit (IVA) auditors
4. Timely escalation to leadership of all issues and barriers
5. Prepare and provide weekly Medical Record Retrieval status reports
6. Demonstrates effective professional verbal and written communication skills in a virtual environment and across time zones
7. Able to accept direction, duties and changing priorities as assigned
8. Maintains HIPAA standards and confidentiality of protected health information
9. Attend/Participate in meetings
10. Performs other duties as assigned

Must have qualifications/experience:
1. High school diploma or equivalent
2. Strong Communication Skills
3. Ability to contact providers and request data independently, by telephone and in writing
4. Experience and confidence with placing outbound phone calls
5. Proficient in Microsoft Office applications including Excel, Outlook, Word
6. Excellent time management and prioritization skills
7. Results-driven independent worker and self-starter
8. Flexible; self-directed learning approaches and adaptability are key
9. High level of organization skills, including attention to detail
10. Comfortable working in a virtual environment and across time zones
11. Experience in medical record retrieval, experience in claims or medical office is a plus but not required

Shift Start/End Time:
• End of May through December 2018
• Shift Start/End Time: 8:00am – 5:00pm in time zone as appropriate
• Work in virtual environment or office setting

Dress Code: N/A - Virtual position - home office

This position is responsible for performing a wide variety of administrative and project support duties in a manner which will ensure the productivity and success of the Risk Adjustment Data Validation Audit project. The position works under the specific instruction and direction of one or more higher level staff and may provide administrative support to an individual office. Incumbents are regularly responsible for dealing professionally with confidential information while performing several aspects of assigned work. Specific tasks include assisting in a timely and effective medical record retrieval, performs provider and vendor outreach, maintain and update spreadsheets, perform research in source systems and otherwise relieving those supported of minor administrative tasks and business deals. Works under general supervision.
