TS Americas Delivery Organization

Overall Job Scope Provide administrative and coordination support to leaders of TS Americas Delivery organization from the Richardson site. This dynamic team provides solutions support to premium customers, and we are seeking a strong Administrative Assistant with Project Coordination experience to support 2-3 Senior Managers in Richardson, RTP, and San Jose. The best candidates will be executive administrative assistants experienced in supporting multiple leaders in addition to project coordination skills to take on smaller projects as needed. This role reports to the Operations Senior Manager based in San Jose, and he/she will support Senior Managers in Richardson and RTP. The right candidate will arrive with and demonstrate the required skills with an ongoing sense of urgency and goal of excellence in getting the job done. We also desire candidates who are able to see around corners, to anticipate future needs, and to raise their hands to management as needed to keep the team working together seamlessly. Administrative Support Scope

- Strategically manage Outlook calendars for 2-3 busy Senior Managers: standing meetings, project team meetings, staff meetings, monthly / quarterly Town Hall meetings

- Schedule travel for supported Senior Managers

- Compile receipts and submit expense reports for supported Senior Managers

- Partner with other Admins and team to define organizational schedule of events

- Greet visitors and callers, route and resolve information requests

- Serve as site Point of Contact for TS Americas organization at Richardson site Project Coordination Scope

- Work with Managers to plan Comms Meetings (Town Halls, All Hands)

- Work with Managers and BOMs to schedule, plan, and execute team, staff, and quarterly meetings

- Participate in weekly Operations Staff Meetings to ensure team alignment and awareness across lines of business within TS Americas Delivery organization

- Project and event coordination as needed by Ops Team or supported Sr. Managers Minimum Requirements

- Demonstrated expertise using Microsoft Outlook, PowerPoint, Word, and Excel absolutely required; review of work product will be part of the interview process

- 8-10 years of Administrative Support experience required; multiple executive support experience preferred

- At least 5 years project management experience on specific projects with reportable results

- Time management skills will be critical to this role

- Strong Communications skills (written, verbal, and listening excellence)

- Must be based in Richardson and able to work a regular Monday - Friday / 8am - 5pm work schedule in the Richardson office (no telecommuting) Desired Skills
