Responsibilities, Qualifications, & Details:                
Reporting to the FIS PMO manager, the PMO Specialist role performs a wide variety of support tasks to assist the individual programs of work. The primary responsibility of this role is to ensure established process and standards are followed regarding provider management activities, contingent worker onboarding and tracking, project and portfolio administration, and project time entry compliance. In addition, the PMO Specialist coordinates departmental communications such as quarterly Town Halls and assists in the completion of monthly Operating Company support metric dashboards. The Specialist may also be asked to assist in defining, implementing, and monitoring compliance to new processes as deemed necessary. Although reporting to the PMO Manager, this role regularly interacts with FIS Senior Leadership and other members in a concerted effort to deliver best in class support.

Review incoming Statement of Works (SOWs) to ensure agreed upon standards and templates were used
Serve as the primary point of contact to FIS Project Managers in supporting the initiation and completion of SOWs 
Serve as the liaison between Global Sourcing and Procurement (GSP) and FIS Project Managers in the resolution of SOW matters
Maintain agreement status log and escalate issues on as needed basis
Ensure FIS has proper signatures/approvals on SOWs prior to the onboarding of contingent workforce
Upload all agreements to FIS repository
Assist in any needed process revisions and communications 30%
Monitor PMO Support mailbox for new contractor requests
Verify completeness and accuracy of contractor requests (e.g. details tie to underlying SOW, project approved, hourly rates consistent with agreed upon provider rate cards, etc.)
Ensure contractor requests are processed in a timely manner 
Maintain log of contractors and notify FIS Project Managers in advance of Contractor end date to verify upcoming termination or to start the renewal process
Reconcile monthly contractor PeopleSoft report with internal records and coordinate any needed changes with Human Resources
Assist in any needed process revisions and communications 20%
Project and Portfolio Management System Activities:
Monitor PMO Support mailbox for new requests
Oversee offshore resource completing requested administrative tasks (e.g. setup new users, system access, etc.)
Conduct regular status calls with offshore resource and help resolve open issues
Assist in the review of project time entry to ensure compliance by agreed upon deadlines
Serve as the point of contact for system reporting issues and new requirements
Assist in any needed process revisions and communications 20%
Train new FIS resources on the project time entry process and communicate scheduled deadlines
Train resources as needed on HP PPM report generation
Train FIS Project Managers on Contractor Onboarding/SOW process 5%
Coordinate all required activities for quarterly Town Hall meetings
Assist in drafting communications regarding FIS wide process changes 10%
Manage FIS SharePoint site administration
Assist in assembling meeting material for the FIS internal reporting pack
Other projects as deemed necessary and requested by FIS management. 15%

 

Must Have:

  • Bachelor’s degree in a related field; or equivalent combination of education and experience.
  • Between 2-5 years’ experience working in a Project/Program/PMO environment
  • Experience of project management or project/program management support.
  • Ability to communicate clearly and effectively; verbally and in writing.
  • Strong information gathering skills
  • Able to manage time effectively, dealing with multiple tasks and priorities
  • Ability to effectively interact with all levels of company personnel and maintain effective working relationships
  • Experience of working in a distributed team environment or a multi-national company
  • Knowledge and skills (general and technical)
  • Requires good written, verbal, presentation and communication skills, and the ability to work independently and proactively.
  • Proficiency with Microsoft applications; specifically, Projects, Excel, Word, PowerPoint.
  • Good time management skills; ability to set priorities and meet deadlines.
  • Knowledge of information technology and financial accounting concepts a plus.
  • Strong analytical skills with the ability to creatively solve problems.
