Office Location: Manassas, VA

Salary - $48,000 - $50,000.00
Office Type - Commercial Office and Industrial

Purpose/Scope of Position: Assist Property Management office with tasks contributing to the operation and maintenance of buildings. Work directly with multiple departments including property management, construction management, accounting and lease administration.


General office duties include answering phones, greeting visitors, electronic filing, ordering office and kitchen supplies
Initial point of contact for tenant inquiries and service requests


Assist in maintaining communication to ensure tenants are fully informed of activities that impact their use of the building and premises
Assist with scheduling and coordination of tenant move-ins and move-outs.


Assist in arranging for signage, keys, access cards, and access to the electronic work order system for new tenants
Place work orders in the computerized tenant work order system and help monitor progress of same
Assist property manager with certain accounting functions including accounts payable and accounts receivable management. This will include telephone communication with vendors and tenants.


Assist property manager in coordinating with various building services providers to implement services such as window cleaning, janitorial, snow removal, elevator service, etc.


Assist in preparing contracts for all building services including but not limited to janitorial, snow removal, window cleaning, elevator, landscaping, emergency generator, HVAC, fire alarm maintenance.
File required elevator and fire alarm testing and inspection reports
Maintain electronic file of tenant and vendor certificates of insurance
Help organize tenant appreciation events including holiday and ice cream socials


Requirements

Experience/Background Knowledge: 1 year or more experience in an administrative position. Experience in Property Management preferred, but not required.

Skills: Strong communication, negotiation and diplomacy skills. Also, strong organization skills. Microsoft office, including intermediate level using Word, Excel and Outlook and Outlook Calendar.

Education: 4 year college degree preferred

Normal working hours: 8:30 am – 5:30 pm
