PURPOSE OF JOB: Operate multi-line telephone system to answer incoming calls and direct callers to appropriate personnel. Receive and check in facility visitors and guests.


  1. Attendance is considered an essential function of this position
  2. Answer incoming telephone calls, screen/determine purpose of callers, and forward calls to appropriate personnel or department
  3. Take and deliver messages or transfer calls to voicemail when appropriate personnel are unavailable
  4. Issue updated phone lists and provide callers with address and/or directions to facility
  5. Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel
  6. Have visitors sign visitor registration cards and file them
  7. Have visitors sign visitor book, make badges, and file them
  8. Monitor visitor access binder and issue visitor passes when required
  9. Receive, sort, and route mail appropriately
  10. Prepare invoice packet for all staffing agencies
  11. Assist the HR department on projects as needed
  12. Assist all other departments on special projects as needed
  13. Update all new training materials as needed
  14. Separate/segregate A/P checks and distribute them to appropriate persons, submit accordingly to HR for review, stamp, and mail
  15. Open lobby (at the beginning of the day) and close lobby (at the end of the day)
  16. Assure compliance to standards


  1. Post conference room schedule templates
  2. Perform other clerical duties as needed, such as data entry, filing, photocopying
  3. Perform other job responsibilities, as necessary, and/or assigned


While performing the duties of this job, the employee is frequently required to do the following:

  1. Must be able to communicate in English
  2. Ability to sit for the entire work day
  3. Ability to move 15 pounds


  1. Experience working as a receptionist within a corporate environment 
  2. Must possess excellent communications skills and exhibit a pleasant and professional demeanor
  3. Must possess computer proficiency, Word preferred
  4. AA degree or equivalent preferred
