Responsible for the procurement of goods and services through the First American procurement application, ensuring order accuracy and timely processing. Provide support to business units throughout the purchasing process, along with resolving issues related to Purchase Order-backed invoices. Develop working relationship with vendors, track information, gather and analyze data, and generate reports for management to evaluate strategic initiatives. Facilities is the purchasing category.

 

 Responsibilities, Qualifications, & Details:

  • Review purchase requirements, create and maintain requisitions, and process orders through the procurement application
  • Ensure appropriate agreements and supporting documentation are in place for all purchase orders
  • Work with stakeholders and vendors to resolve issues related to purchase orders
  • Resolve A/P invoice issues related to purchase orders
  • Collaborate with stakeholders to ensure business needs are met and orders are processed timely
  • Support functional teams with data analysis, reporting, and account reconciliation
  • Provide both formal and informal training to procurement application users
  • Front line service partner to procurement application users providing assistance with purchases
  • Communicate with all levels of leadership, vendors, and team members on purchase order related matters
  • Establish relationships with key vendors for current and future procurement initiatives
  • Work directly with stakeholders and Legal department in executing contracts as assigned
  • Conduct sourcing and contracting of materials, services and supplies for one-off purchases as assigned
  • Obtain cost savings by recommending alternate sources and negotiating price reductions when applicable
  • Contact vendors, secure bids, and place order with vendors providing best overall value
  • Work directly with stakeholders and Legal department involving amendments and change orders to existing contracts
  • Provide recommendations and input to support procurement strategic initiatives
  • Conduct internal audits for operational efficiency as needed (i.e. use of preferred vendors, Open POs, etc)
  • Complete projects as assigned (i.e. prepare charts, graphs, and presentations for meetings)
  • Work with stakeholders to ensure savings are captured and recognized
  • Other duties as assigned

The ideal candidate should be able to work independently with minimal supervision. Be comfortable with using their expertise and that of other team members and leverages wide range of additional resources to explore/implement solutions. Provides input for establishing group objectives. Recommends improvements to Purchasing process and procedures. Work quality is important as errors may result in risk to quality of service, time and cost to business.

 

Required:

  1. BA/BS Degree preferred or equivalent work experience
  2. Typically has 8-12 years of related experienced
  3. Proficient MS Office skills
  4. Solid communication skills, both verbal and written
  5. Customer service skills
  6. Organized, detail oriented analytical
  7. Understanding of accounting principles
  8. Working knowledge of ERP and Procurement applications
  9. Extensive knowledge of business related contract clauses
  10. Familiarity with Legal related contract clauses
  11. Ability to redline and negotiate contract terms and conditions
  12. Ability to work with Legal Department to review contract terms and conditions
  13. Experience in comparing documents for change and/or revision
