Service Administrative assistant

POSITION – Administrative Assistant/Service Department
Summary Description:
Answer customer calls to the Service Department. Schedule and dispatch technicians. Provide a high level of customer service. Provide office support to the Service Department with a variety of clerical activities and related tasks.
Essential Functions:

 Answer telephone, assist callers or direct the caller to the appropriate person or department
 Take messages for various personnel
 Create Service Request Orders (SRO)
 Create and schedule monthly maintenance, weekly and daily SRO schedule
 Dispatch Technicians on their monthly, weekly and daily SRO schedules
 Update SRO status and create incident requests for Service Support representative
 Review SRO’s, confirm completion and forward to accounts receivable for invoicing
 Consolidate Daily Time Sheet Reports and transfer to Payroll
 Consolidate work order tickets and transfer to Payroll
 Create and transcribe Service Start Up Forms
 Assist managers and technicians as required
 Assists with clerical duties such as photocopying, faxing, filing and collating
 Data entry of various information as needed
 Complete other tasks and projects as assigned
 Comply with all Company rules, policies and standards
 Comply with all Company safety rules, policies and standards
 Come to work on time and as scheduled

Knowledge of Software Required
General computer skills required. Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
and Google docs beneficial.
Education & Experience
High school diploma or equivalent required. Two or four year college degree preferred. Previous dispatching and/or construction experience beneficial.
