Position Summary: 

As defined within the scope of assigned project(s), the Senior Executive Assistant, provides administrative, project and executive support to the Senior Vice President and senior members of the Clinical Development function (as appropriate or assigned). He/she oversees and coordinates the day-to-day activities, and serves as the principle point of administrative contact with internal and external customers. The Senior Executive Assistant assists with travel and coordination of events and meetings and general office administration. 

The Senior Executive Assistant handles confidential information regularly using sound judgment and exercises a high degree of diplomacy, tact and professionalism. He/She is often responsible for initiating one or more special projects on a regular basis and handling a very high-level of external and internal contacts. 

The employee must conduct his/her work activities in compliance with all relevant laws, regulations, and regulatory guidelines.

Responsibilities, Qualifications, & Details:

• Diverse and complex administrative duties: Maintain appointment calendar for Senior Management as required. Schedule all appointments and meetings with other departments and external contacts as needed. Ensure calendar is accurate and updated when changes occur. 

 

Reserve meeting space, arrange for audio/visual equipment, and distribute agendas. Manage travel arrangements including international and domestic flight details, hotel reservations, seminar registrations, etc.

Prepare detailed reports, compile basic statistics, set up databases as needed and supports the Web-based department sites as required. May direct other administrative tasks. 

• Support meetings with external experts and vendors, including obtaining Confidentiality agreements and contracts, as required. 

• Prepare memos, letters, reports, presentations and other business correspondence, either independently or from written/verbal instructions. Copy and distribute correspondence in a timely and efficient manner and file all appropriate documents from department. Maintain permanent chronological correspondence files for Therapeutic Area. Coordinate the maintenance of department files and filing system in an organized fashion. 

• Prepare expense reports, expedite and track processing of all expense reports and check requests. Ensure reconciliation of reimbursement with expense reports and maintain copies of expense reports, receipts and reimbursement checks. Reconcile monthly expense budget reports ensuring accuracy of entries. 

• Support the time keeping recording for senior management, as requested. 

• Proactively coordinate various department initiatives and projects as assigned. May manage or coordinate projects (or portions of projects) led by senior management. Ensure confidential handling of information and use sound judgment to independently complete a range of special projects. 

• Distribute mail, answer phones and ensure seamless flow of information. Exercise initiative, diplomacy, collaboration with other departments, tact and a high degree of professionalism in decision making during the absence of the Senior Vice President. 

 

Minimum Requirements

• University degree or equivalent combination of education and experience required. 

• 10+ years of progressively responsible administrative experience. 

• Advanced knowledge of computer software programs (e.g. MS Office and other relevant software as identified) and willingness to learn new IT systems

Essential Skills & Abilities

• Proficiency with computer software programs with special emphasis on calendaring, presentation, and spreadsheet capabilities. 

• Proficiency in working with online databases. 

• Excellent composition, grammar, and business language skills. 

• Excellent communication and interpersonal skills with the ability to effectively communicate with all levels of management, other departments, and both internal and external stakeholders. 

• Creative, flexible, well organized, resourceful and detail oriented. Must be able to coordinate complex travel schedules and plan/coordinate meetings and events. 

• Excellent judgment in handling confidential, legal, or sensitive information. 

• Ability to work independently, set priorities and handle multiple tasks with a high level of efficiency.
