Senior Sales Coordinator

To purpose of this role is to support the sales team through calendar management, complete and accurate databases, professional proposals and presentations, clear and concise communications, and coordination of logistics for events; ownership of sales documentation from start to finish and provide analytical support regarding customer management information. 


Direct reporting relationship with the National Sales Manager. Will typically work closely with all Sales and Marketing staff, as well as Shipping. Should be highly organized and detail-oriented, and be self-motivated, work independently and require minimal supervision and only general direction. 


Job Duties

Customer Analysis and Reporting:

  1. Sales Analysis – via major account websites
  2. Review of Distributor sales publications relative to Hero listings and competitive brands, prices and creation of charts
  3. Store checks, as needed, to review Hero pricing and competitive environment
  4. Monthly inventory of sales sample availability
  5. Distributor advertising commitments and materials coordination, as needed
  6. Track all sales initiatives for existing and new product lines, including Health, Food/Drug/Mass, or both and track results
  7. Provide Sales, Accounting, Marketing and other departments with sales reports, as needed
  8. Update Accounting on sales program commitments
  9. Track timelines for completion of international registrations
  10. Create retailer-specific presentations that include sku specific information, potential sku additions and distribute to Managers and Broker partners
  11. Pull retailer data and internal data to help internal employees and external partners to understand potential sales and marketing points
  12. Present strategies to grow business and landscape model for effective communication
  13. Develop and present strategies that drive sales and grow share by utilizing fact-based insights
  14. Month end reporting
  15. Trade spending reconciliation
  16. Consensus forecast reconciliation

Sales Record Management & Maintenance: 

  1. Drives sales operations process improvements
  2. Pricing book and price list updates
  3. Facilitates product and sales information flow
  4. Broker contact lists
  5. Create and keep updated key account profiles/business plans
  6. Broker programs
  7. Broker commission split tracking
  8. Distributor item number tracking
  9. Completion of all forms relative to the sales effort
  10. New product specification sheets
  11. Creation and set up of new broker books
  12. Registrations by country against distribution targets

Sales Department Administration: 

  1. Coordinate travel arrangements for Sales team
  2. Communicate with brokers and distributors on behalf of Sales management, as requested
  3. Coordinate advertising requirements between Distributors and Hero Sales & Marketing departments
  4. Update sales mailing lists for customers, brokers, distributors and leads
  5. Maintain Sales policy and procedure binder
  6. In conjunction with Marketing, meet all timelines on product launches and ongoing sales initiatives
  7. Maintain and update customer service scripts
  8. Recommend to Sales team additional scenarios

Event, Meeting & Demo Coordination: 

  1. Assist Marketing as needed in coordinating the staffing requirements and attendance
  2. Manage travel arrangements, expenses, lists of job duties, work schedules, etc.
  3. Develop and maintain checklists to ensure coordination with all other departments
  4. Prepare materials and schedule shipments
  5. Develop and maintain expense worksheets and all paperwork for tracking vendors, suppliers, internal approvals for Sales department
  6. Ensure sales team is aware of all pending deadlines
  7. Create professional presentations for internal and external audiences
  8. Create comprehensive program for demonstration (demo) needs
  9. Manage demo commitments and material preparation
  10. Manage payment to demo specialists outside Hero
  11. Involvement with Regional in store training
  12. Participate in Regional trade shows

Budget & Accounting Coordination: 

  1. Maintain records of purchase orders and purchase requests to ensure timely response and approval
  2. Follow each PO and PR through accounting system to ensure vendors and suppliers are paid timely
  3. Create reports on sales budget expenditures and track spending to ensure within budget

Sampling Coordination:

  1. Assist Sales management in determining sample requirements list for brokers and distributors
  2. Ensure samples are shipped timely and confirm receipt by customers, brokers, distributors

Communication & Interaction:

  1. Foster a service and customer-oriented, collaborative environment

Education & Experience 

  1. 2 years’ experience in nutritional, food supplement, pharmaceutical or related health industry; consumer packaged goods (CPG) experience desirable
  2. 2-4 years of relevant experience or equivalent combination of education and work experience
  3. Associates degree preferred
  4. Strong familiarity with current industry-specific competitive strategies and best practices
  5. Advanced skills in Word, Excel, PowerPoint, Outlook and Internet for research, and other software programs as needed to carry out responsibilities of position
  6. Excellent communication and negotiation skills, to establish effective relationships with vendors, suppliers and outsourced functions
  7. Ability to manage and multi-task multiple new and existing projects in a fast-paced environment
  8. Ability to work under pressure of long and short deadlines, change in direction, with ability to rain calm and even tempered, act as facilitator to resolve conflicts
