Adecco's Direct Hire recruiting team seeks a motivated, organized & operations driven professional to apply for a job as Team Operations & Transaction Coordinator for our client in Midtown West in NYC, a leading national real estate brand with an immediate opening in New York City, NY to support a multi-million dollar top sales & rentals team. To be considered, you MUST have a Real Estate license or be willing to study & obtain a Real Estate license in NYC. As a Team Operations & Transaction Coordinator, you will have 2-4 years’ experience with operations, real estate administrative tasks & marketing experience so you can support your internal team with functions surrounding buyers & sellers of properties in the New York City real estate market.

Job Responsibilities:

Act as the liaison between clients, real estate attorneys, CPA’s, building managing agents, Real Estate Agents and any other professional that is related to a sale or lease
Manage the team’s calendar, coordinate all showing requests, daily activities, meetings, confirmations, access with owners/tenants and schedule appointments
Assist with the management of contract to close process for each sale or lease transaction
Follow through with all inquiries/transactions; point of contact for managing agents
Manage & implement the system to complete for Co-Op and condo purchase application process & create buyer folders
Coordinate, organize, and confirm team member’s scheduling and appointments
Consistently organize workflow and reduce inefficiencies
Support all internal team members to meet team sales & marketing goals
Create, edit & prepare listing presentation packages & property listing marketing materials
Schedule photographers & floor plan artists
Coordinate open houses with property management and sellers
Send weekly property activity reports to buyers and sellers
Accompany buyer clients to homes already purchased when needed to meet with architect, contractor, etc.
Create and implement ongoing buyer searches
Scanning, faxing, filing, answering phones, entering business and personal contacts and administer all incoming and outgoing deliveries and mail
Create monthly printed post cards, mailings, holiday cards; create and distribute monthly email newsletter
Assist internal team with social media marketing
Build, implement and manage all systems for clients, lead generation, database management and back office support
Flexibility to work 2-3 Sundays each month for a few hours to support open houses or buyer appointments as needed
Lead follow up from online sources, open house leads, & lead cultivation of direct buyers from exclusive team listings
Be available to respond to emails after office hours including weekends as needed

You are qualified for this role if you are:

Proficient with Microsoft software: Word, Excel, Outlook, CRM tools, and ability to pick up on new technologies with ease
Organized, a detail-oriented problem solver & are a highly self- motivated individual with a desire to learn quickly, multi-task, and work independently as well as part of a team
Dependable and punctual; practice extreme professionalism, utmost integrity & honesty with clients, are a strong communicator & have a can-do positive mindset
Real estate experience preferred but not required
Must have or willing to obtain a NY State Real Estate License (the client will assist with costs associated with obtaining the License for the hired individual)
Willing to provide concierge-level customer service to clients
Flexible in daily routine; ability to prioritize and manage shifting responsibilities

This role offers a base salary of $45-55k, a competitive commission percentage for teams’ closed sales, an autonomous working environment & the ability to learn & grow from some of New York City’s top real estate producers.
